Privacy Policy - ACE Fitness app

ACE Corporate Fitness Ltd ("ACE", "we") runs the ACE Fitness app. This policy explains what we hold about you, why, and what you can ask us to do about it. It covers the app only.

What the app is

The app is a private tool for people who already have an ACE membership arranged through their employer or directly with us. You cannot sign up in the app - we create your account and give you the login. Nothing is sold in the app. There are no in-app purchases and we never ask for card or bank details.

What we hold

  • Your account: name, email address, username, and your password (stored scrambled, so nobody at ACE can read it). Whether you are with a company or an individual member, and whether you have any admin role.

  • Your messages: the messages you send in chat rooms, and when you sent them.

  • Your membership status: whether your access is currently active and when it runs to. This is a record of access, not a payment record.

  • Notifications: a device token from Apple, so we can send message alerts to your phone. It identifies your device, not you personally.

  • Safety and security records: reports you make about a message or another member (including a copy of the message concerned), anyone you block, the time you accepted the Terms of Use, when you last signed in, and the IP address of failed sign-in attempts, which is how we stop password guessing.

That is the lot. We do not collect your location, your contacts, your photos, or anything from other apps.

What we don't do

  • No advertising, and no advertising identifiers.

  • No tracking, analytics, or profiling - the app contains no such tools at all.

  • We never sell or rent your information, or share it for anyone else's marketing.

How we use it

To give you access to the app, show your messages to the people in your chat rooms, send you notifications, keep the service secure, deal with reports of unacceptable behaviour, and contact you about your account (for example a welcome email or a password reset code).

Our lawful basis is the contract for your membership, and our legitimate interest in keeping the service safe and working.

Who else can see it

  • Other members of your chat rooms see your name and the messages you send there. Company chat rooms are limited to that company's members; you cannot see another company's rooms, and they cannot see yours.

  • ACE administrators run the system and can see accounts, memberships, and any message reported to them for moderation.

  • Companies can manage which of their own people have access. They are not given your messages.

  • Our suppliers, only as far as they need to: our website and database hosting and our chat server, all in the United Kingdom; Apple, which delivers push notifications (the sender's name and the message preview pass through Apple to reach your phone); and an email relay that sends our account emails, which is based in the United States.

  • The Home tab shows a page from the ACE website inside the app. That site is run on our behalf by a website provider and, like any website, it records standard visit information.

We will also disclose information if the law requires it.

Notifications

If you allow notifications, a preview of a new message may appear on your lock screen. Turn them off at any time in your phone's Settings, or by turning off notification permission for the app - the app keeps working.

How long we keep it

We keep your account and your messages while your account is open. If your membership ends, we close your account and keep the record for up to 12 months in case you rejoin, then delete it. Messages you have sent remain visible in the chat room's history unless we remove them. Records of moderation reports are kept for up to 2 years so we can deal with repeat problems.

Your rights

You can ask us to give you a copy of your information, correct it, delete it, or restrict what we do with it, and you can object to our using it. Because ACE creates accounts, deletion is by request: email support@acecorporatefitness.co.uk and we will action it, normally within 30 days. Deleting your account removes your profile; messages already sent may remain in the room's history unless you ask us to remove those too, and we will.

If you are unhappy with how we have handled your information you can complain to the Information Commissioner's Office at ico.org.uk.

Keeping it safe

Everything the app sends is encrypted in transit. Passwords are stored as hashes, never in readable form. Sign-in sessions expire and can be revoked. Access to the system is limited to ACE staff who need it.

Children

The app is for adults. It is not intended for anyone under 18, and we do not knowingly hold information about children.

 

Changes

If we change this policy we will update the date at the top and, if the change matters to you, tell you in the app.
